Your impact:
The Document Controller (Corporate and Projects) plays a crucial role in ensuring the accuracy, integrity, safety, accessibility, and compliance of documentation for the Geoquip Marine Group (GM), both on a corporate level and for project documentation. They are responsible for developing and implementing document control procedures, managing document repositories, facilitating document reviews and approval processes, and ensuring adherence to regulatory requirements and internal quality standards.

The job:

  • Develop and implement document control procedures for all corporate and project-related documentation.
  • Establish guidelines for document formatting, naming conventions, version control, and access permissions.
  • Maintain an organized system for storing and archiving documents, both physical and electronic.
  • Create and maintain a centralized document repository to facilitate easy access and retrieval of information.
  • Ensure accurate labeling, indexing, and categorization of documents for efficient search and retrieval.
  • Coordinate the review and approval process for new and revised corporate and project-related documents.
  • Distribute documents to relevant stakeholders for review and track feedback and comments.
  • Monitor document approval status and ensure timely resolution of any pending actions.
  • Ensure that all corporate and project-related documents adhere to regulatory requirements and internal quality standards.
  • Conduct regular audits to verify the accuracy and completeness of documentation.
  • Collaborate with regulatory affairs and compliance teams to address any compliance issues or concerns.
  • Provide training and support to employees on document control procedures and best practices.
  • Serve as a resource for inquiries related to document management and compliance.
  • Identify opportunities for process improvements and efficiencies in document control practices.
  • Implement changes to streamline document workflows and enhance overall effectiveness

The person:

  • Qualification in business administration, information management, or related field
  • Proven experience in document control or records management, preferably in a corporate and projects environment
  • Proficiency in document management software and tools (e.g., SharePoint, Documentum, etc.)
  • Strong understanding of document control principles, standards and best practices
  • Excellent organisational skills with meticulous attention to detail
  • Effective communication and interpersonal skills
  • Ability to work independently and collaboratively in a fast-paced environment
  • Familiarity with regulatory requirements and quality management systems is a plus
